This policy explains what information the website collects and how that information is handled.

Information We Collect

We may collect information in the following ways:

  • Membership applications: Name, email address, professional role, website or professional profile, information about the applicant’s work, referral source, and consent response.
  • Job-listing submissions: Contact information, listing details, client or organization information, compensation information, uploaded materials, and other information provided through the submission form.
  • Messages: Information sent to us by email or through a website form.
  • Technical information: The website and its plugins may automatically record an IP address, browser type, submission date, referring page, and information used for security or spam prevention.
  • Account information: If website accounts are enabled, WordPress may store usernames, email addresses, passwords in encrypted form, and account activity.

Please do not submit confidential student records, unpublished research, protected health information, or other sensitive materials unless the form specifically requests them.

How We Use Information

We may use submitted information to:

  • Review and respond to membership applications
  • Administer Guild membership
  • Moderate and publish approved job listings
  • Communicate about applications, listings, membership status, or requested services
  • Maintain the security and proper operation of the website
  • Keep administrative and financial records
  • Improve Guild resources based on member needs

Public Listings and Member Profiles

Approved job listings are intended for public viewing unless clearly identified as private or restricted.

Information entered into public listing fields may appear on the website. Contact information submitted only for administrative purposes will not be intentionally displayed unless the submitter also places it in a public field.

When a submitter selects the option to keep the client private, the public listing will identify the client as “Private client,” and the client’s website will be hidden. Submitters should still avoid including identifying information elsewhere in the listing.

If a member directory is added, professional profile information will be published only for members who choose to be included.
